How to Let Jira Ruin Your Process #5: Not Aligning Jira to How Teams Actually Work

One of the quickest ways to set Jira up for failure is to configure it according to how you imagine your process to be, rather than how the team currently works. Maybe your aspirational process is better than what’s currently happening—great. But here’s the problem: if Jira doesn’t match the way your teams naturally flow, they won’t actually use it.

Oh sure, you can force compliance, but people will either find ways around it or create back-door methods of getting things done that aren’t covered by your Jira workflow. Suddenly, everyone’s using rogue spreadsheets, sticky notes, or random Slack threads.

So what’s the fix?

  • Configure Jira after you understand your existing process—not the other way around.

  • Start by mapping out how work really gets done: Where do tasks come from? Who does them? How do they move to “Done”?

  • Then, set up Jira fields, statuses, and boards to reflect those steps—no more, no less.

For real success:

  • Get the entire team’s input on workflows.

  • Listen to their pain points and address them in Jira.

 

When you align the tool with their day-to-day tasks, adoption becomes almost much more likely.

Remember, the best process is the one people actually use. An unfollowed process, however elegant, is useless if it’s not truly being followed.

Build Jira around your team’s reality, and then use that as a launching pad for improving it.
